Settings overview

GiveFlow organizes its configuration into 10 tabs. Each tab controls a specific area of your fundraising setup. You can access all settings from the GiveFlow menu in your WordPress dashboard.

Setup

The Setup tab is a readiness checklist rather than a settings screen. It checks your site and groups what it finds under:

  • Taking money: your gateway keys, test mode, HTTPS, gateway webhooks, and the Apple Pay domain.
  • A live donation page: whether a published campaign page can actually take a donation.
  • Receipts and email: your sender identity, receipt template, and the organization details printed on receipts.
  • Background jobs: whether the queue that sends receipts and emails is running.
  • Donor portal: where sign-in and receipt links point.

Each row that needs attention links to the tab where you fix it. The panel re-checks every time you open it, so it reflects changes you made on another tab.

Organization

Configure your organization’s core identity here. This tab includes your legal name, display name, contact email, address, country, and your tax ID or EU VAT number.

These details appear on receipts, emails, and donation forms. Keep them accurate and up to date.

Brand

Control the visual appearance of your donation forms. Three style presets are built in: Classic, Bold, and Quiet. A fourth, Site theme, appears when GiveFlow can read colors or button styles from your active theme.

You can mark one preset as the org default and create your own. Presets give you access to roughly 25 design tokens for fine-grained control over colors, typography, and spacing.

Currency

Set your base currency and the currencies donors can use. Configure your locale, decimal places, decimal separator, thousands separator, and symbol position.

The base currency defaults to USD. All reporting and totals roll up to it, and it locks once donations have been recorded against it. Enable more currencies to accept donations from international donors.

This tab also holds your exchange rates. GiveFlow can update them automatically each day, or you can set each rate by hand. Rates are snapshotted onto each donation when it is made, so editing a rate never changes a donation that already exists.

Payments

The Payment gateways tab manages your payment gateways and the org-wide test mode toggle. GiveFlow supports Stripe, PayPal, and offline donations for cash, check, or bank transfer. A Sandbox gateway becomes available while test mode is on.

Emails

Configure your outgoing email settings and customize the eight donor emails you can edit on this tab. Set your from name, from email, and reply-to address, and choose whether to BCC your WordPress admin address on donation receipts.

Each template has its own enabled toggle, subject line, and body content. You can personalize emails with merge tags. The tab also has a Send a test email card, which confirms your sender and transport work before real receipts go out.

Receipts

Customize the appearance of your PDF donation receipts. Configure the header title, introduction text, signoff, footer note, and logo. You can also choose whether to display your tax ID and donor address.

Numbering

Define how GiveFlow numbers donations, receipts, and refunds. Each document type has its own prefix (for example, GIVEFLOW, REC, REF).

You can set the minimum number of digits, include the year, reset numbering each year, and choose a separator. A typical number looks like GIVEFLOW-2026-00001. A separate card shows the number each type will use next, and lets you jump a counter forward to continue an existing sequence.

Privacy

Manage donor privacy, data retention, and consent settings. Configure your privacy policy URL, IP anonymization, retention periods, and donor self-service options like data export and account deletion.

Roles

Control which WordPress user roles can perform specific actions. The capability matrix maps your existing WordPress roles against 12 capabilities. This tab is visible only to users who can manage WordPress options, because saving it assigns GiveFlow capabilities.

Available capabilities include:

  • View, edit, export, and redact donors
  • View, edit, and refund donations
  • Resend receipts
  • View reports
  • Manage campaigns, forms, and settings
